This role is responsible for providing organizational support to the GBCSA team in Johannesburg, assisting their efforts in engaging, working with and providing service to stakeholders in Gauteng and KwaZulu-Natal.  

Salary: 20 000 – 28 000 based on experience

This role is responsible for providing organizational support to the GBCSA team in Johannesburg, assisting their efforts in engaging, working with and providing service to stakeholders in Gauteng and KwaZulu-Natal.  

Responsibilities will include though are not limited to: coordination of regional events, support to the Marketing and Business Development teams, engagement with GBCSA member organisations and general office support.  

This role will be office based, in Johannesburg. 

Support to Business Development team  

  • Engagement and relationship building with specific GBCSA member sub-set
  • Collect, collate and share industry news / intelligence to Business Development Team and greater GBCSA
  • Business Development report generation – monthly, quarterly
  • Maintain up-to-date market information and updates in centralized CRM system
  • Meeting,  bespoke event, and networking coordination
  • Generic stakeholder assistance and support 

Support to Marketing Team  

  • Support with the execution of marketing material  
  • Media & PR co-ordination for specific event
  • Directs media queries relating to the event accordingly
  • Assist with advertising enquiries and direct accordingly
  • Establish a database of prospective event sponsors
  • Assist with collation of marketing material.
  • Responsible for the ordering of marketing collateral and gifts. Responsible for distribution as required for various activations  
  • Monitoring of GBCSA and partner brands digital media and social media channels to report back weekly on trends and activity. 
  • Follow-up required with suppliers in terms of quotations and deliverables
  • Assist CMO with weekly marketing meetings and updating of reports 

 Oversee and co-ordinate regional events  

  • Manage any outsourced vendors and all event related suppliers alike  
  • Source and research appropriate venues, engage and negotiate rates  
  • Build and manage a supplier database  
  • Coordinate event details:  
    • Venue
    • Times
    • Food & beverages
    • On site logistics
    • Reporting  
  • Calculate budgets and adjust when necessary.
  • Send out timeous invitations
  • Drive additional attendance to the event.
  • Analyze event performance and prepare metrics presentation, pre and post event
  • On-site event co-ordination
  • Support to team for annual Green Building Convention

Performance Indicators

  • Increased level of engagement with identified member organisation sub-set, in line with agreed metrics
  • CRM database up to date, appropriately populated and integrated into business development activities
  • Successful and professional planning, coordination and execution of GBCSA events in Gauteng and KwaZulu Natal
  • Marketing collateral, insight and tasks completed on time, at a high standard and executed with a high level of professionalism
  • Sponsorship database established and maintained; requisite relationships maintained and upheld
  • Marketing proposals and reports created and delivered on time and executed with high level of professionalism
  • Dedicated GBCSA team player and contributor   

Knowledge, Skills and Abilities Required  

  • Knowledge of South African property industry, it’s trends and key players
  • Capable networking and relationship building skills (existing network within the property industry preferred)
  • Project & time management skills  
  • An eye for detail
  • Ability to work productively without micro-management  
  • Innovative, strategic and idea-generating
  • Assertive  
  • Strong articulation and communication (spoken and written)  
  • A passion for sustainability    

Minimum Job Qualifications Required

  • Formal administration and/or office management qualification and/or demonstrated experience in an administrative or office management role for at least 3 years. And;
  • 6 years or more experience in an executive administration and/or office administration and/or office support role.
  • Experience in property industry preferred
  • Prior stakeholder engagement/customer support experience preferred
